# Managing Teams and Users

# Teams

Teams provide an easy way to organise Forms, Users and Submissions within your FormTab Account. Each Team contains the following:

  • Members
  • Forms
  • Submissions

Because each Team is separate, it makes it simple to organise FormTab to suit your needs. For example, Teams can be used for:

  • Projects
  • Departments within your business
  • Organising types of Form
  • etc

By default your FormTab account has one Team, but the Account Owner can add as many as requiredopen in new window.

# Members

Manage your Team's Users in the Members areaopen in new window of your Team.

Users can have one of the following roles:

  • Administrator
    • Fill Forms
    • Add/Edit Forms
    • Manage Users
    • Access Submissions
  • Reporter
    • Fill Forms
    • Access Submissions
  • User
    • Fill Forms

TIP

  • If you add a brand new User to a Team, an invitation is sent to their email address. Once they accept the invitation, they will be added as a User to your account and included in your monthly billing
  • While a User can belong to more than one Team in your account, you are only billed for the total number of users in your account

# Forms

When you build a Form and publish it to a Team, it is available to all members of that Team. And by using multiple Teams, it is simple to create different sets of Forms and make them available to unique sets of users.

This makes sure that Users have access to the right Forms at the right time - simplifying the data collection process and reducing potential errors.

# One Form, Many Teams

A single Form can also be published to more than one Team, which has many advantages:

  • Simplifies administration - build it once, use it over again
  • Control Users and access on Team by Team basis
  • Submissions are stored in a Team, so the information is available to only those who need it

# Submissions

Each Team has its own Submissions area, where all submitted Forms are saved.

Administrator and Reporter users can view, search and export Submissions in a variety of formats.
